VibeCrew is a digital and mobile-first recruitment platform built for the event industry, helping clients upload briefs, receive AI-assisted crew recommendations, review talent, and book crew, while enabling candidates to create profiles, set rates and availability, and be considered for relevant work opportunities .

By accessing or using VibeCrew, you acknowledge that you have read and understood this Privacy Policy.

1. WHO THIS POLICY APPLIES TO

This Privacy Policy applies to:

1.1 Candidates, freelancers, crew, and talent who create or maintain profiles on VibeCrew;

1.2 Clients, including agencies, brands, venues, operators, production teams, and hiring representatives using VibeCrew to source, vet, shortlist, coordinate, or book talent;

1.3 Website visitors who browse our website, submit contact forms, request demos, or otherwise interact with us online; and

1.4 Other users who communicate with us, subscribe to updates, engage with support, or otherwise use our services.

VibeCrew is built with a privacy-first mindset. We aim to collect only the data we need, use it responsibly, and give users clear information about how their data moves through the platform. Our approach includes explicit consent where required, transparency around processing, support for access and deletion requests, and responsible handling of both candidate and client data .

Where AI-supported workflows are used, including brief analysis and crew-building support, VibeCrew uses private API processing with zero retention by the AI provider, helping reduce unnecessary data exposure .

4. THE PERSONAL DATA WE COLLECT

The personal data we collect depends on how you use VibeCrew.

4.1 Information you provide directly You may provide us with:

  • 4.1.1 your name;

  • 4.1.2 email address;

  • 4.1.3 mobile number;

  • 4.1.4 account login details;

  • 4.1.5 date of birth or age confirmation;

  • 4.1.6 profile photo;

  • 4.1.7 CV, résumé, portfolio, credentials, licences, certifications, and work history;

  • 4.1.8 skills, role preferences, rates, availability, and location details;

  • 4.1.9 company details, billing details, and hiring requirements;

  • 4.1.10 event briefs, staffing requests, crew structures, booking details, and job-related notes;

  • 4.1.11 communications with us or other users through the Platform;

  • 4.1.12 support requests, complaints, feedback, and survey responses;

  • 4.1.13 any other content, files, media, or information you upload or submit through VibeCrew.

4.2 Information collected automatically When you use VibeCrew, we may automatically collect:

  • 4.2.1 device type and device identifiers;

  • 4.2.2 browser type and operating system;

  • 4.2.3 IP address;

  • 4.2.4 app version and usage logs;

  • 4.2.5 login activity and session information;

  • 4.2.6 pages viewed, features used, and interaction events;

  • 4.2.7 crash reports, diagnostic data, and debug information;

  • 4.2.8 security logs and fraud-prevention signals; and

  • 4.2.9 cookie and similar technology data.

4.3 Location data We may collect approximate or precise location data where this is relevant to platform functionality, such as profile visibility, local opportunities, check-ins, availability matching, or event logistics, and where your device settings or consent allow it.

4.4 Data relating to recruitment and booking activity Because VibeCrew operates across both sides of the event hiring marketplace, we may collect and process:

  • 4.4.1 candidate profile information;

  • 4.4.2 client brief and hiring requirement data;

  • 4.4.3 vetting information;

  • 4.4.4 shortlisting and matching data;

  • 4.4.5 booking and coordination information; and

  • 4.4.6 records relating to role suitability, reliability, and workflow status.

This reflects the core way VibeCrew supports recruitment, vetting, and crew coordination across the event industry .

5. HOW WE USE PERSONAL DATA

We use personal data to operate, improve, secure, and support the Platform. Depending on how you use VibeCrew, we may use your data to:

5.1 create and manage your account;

5.2 verify your identity, email address, or mobile number;

5.3 allow candidates to build profiles and be considered for relevant roles;

5.4 allow clients to upload briefs, search talent, receive recommendations, and manage bookings;

5.5 facilitate talent matching, shortlisting, vetting, crew planning, and coordination;

5.6 enable AI-assisted features, such as brief analysis and recommended crew-building workflows;

5.7 personalise platform content, opportunities, or user experience;

5.8 communicate with you about your account, bookings, support requests, updates, or important notices;

5.9 provide customer support and troubleshoot issues;

5.10 maintain platform security, detect misuse, investigate suspicious activity, and prevent fraud;

5.11 monitor service performance, debug issues, and improve platform functionality;

5.12 comply with legal, regulatory, tax, accounting, or law enforcement obligations;

5.13 establish, exercise, or defend legal claims; and

5.14 where permitted, send service-related messages and marketing communications, subject to your preferences and applicable law.

Where applicable law requires us to identify a legal basis for processing, we may process your personal data on one or more of the following grounds:

Where processing is necessary to provide the Platform, create your account, facilitate bookings, or deliver services you have requested.

Where processing is reasonably necessary for operating, securing, improving, and growing VibeCrew, provided those interests are not overridden by your rights and freedoms.

6.3 Consent
Where you have given us clear permission to process certain personal data, including for optional communications, location-enabled features, or certain profile and visibility settings. VibeCrew applies a clear and intentional consent approach where personal data is collected .

6.4 Legal obligation
Where we need to process data to comply with applicable laws, regulations, court orders, or lawful requests from authorities.

7. AI-SUPPORTED PROCESSING

VibeCrew may use AI-supported tools to help clients analyse briefs, build recommended crews, improve matching, or reduce admin time in the hiring process. Where these workflows involve personal or operational data:

7.1 we aim to limit the amount of data shared to what is reasonably necessary;

7.2 we use private API-based processing with zero retention by the AI provider where those workflows apply ;

7.3 AI outputs are used to assist workflows, not replace human decision-making; and

7.4 final hiring, booking, and engagement decisions remain with the relevant user or VibeCrew operations team, as applicable.

8. HOW WE SHARE PERSONAL DATA

We do not sell your personal data. We may share personal data with the following categories of recipients where necessary for the purposes set out in this Privacy Policy:

8.1 Internal team members
Our authorised staff, contractors, and support personnel who need access to perform their roles.

8.2 Clients and hiring parties
Where you are a candidate, relevant profile information may be made available to clients, hiring representatives, or operators using the Platform for legitimate recruitment and booking purposes.

8.3 Candidates and talent
Where you are a client, details of your brief, role, booking requirements, and related information may be shared with relevant candidates or crew for legitimate recruitment and coordination purposes.

8.4 Service providers and processors
Third-party vendors who help us operate the Platform, such as hosting providers, analytics providers, communications providers, identity tools, support tools, payment processors, and infrastructure partners.

8.5 Professional advisers
Lawyers, auditors, insurers, consultants, and other professional advisers where needed for legitimate business, compliance, or legal reasons.

8.6 Regulators and authorities
Where disclosure is required by law, regulation, court order, or lawful request.

8.7 Corporate transaction parties

Because VibeCrew is a recruitment and booking platform, some personal data is intentionally made visible within the Platform to support its core function.

9.2 client briefs may be visible to relevant candidates, crew, or internal coordinators;

9.3 certain availability, role-fit, booking, and coordination information may be visible to authorised users involved in the hiring process; and

9.4 access to data and actions is managed through permission-based controls to reduce unnecessary exposure and support safer platform operations .

You are responsible for ensuring that the information you upload is appropriate for sharing in this context.

10. INTERNATIONAL DATA TRANSFERS

VibeCrew may process or store personal data in countries other than the country in which you are located.

Where international transfers occur, we take reasonable steps to ensure that appropriate safeguards are in place, which may include:

10.1 contractual protections;

10.2 access controls and security restrictions;

10.3 secure hosting environments and encrypted backup measures; and

10.4 limiting access to authorised personnel and providers only.

VibeCrew’s privacy and security approach is informed by high-standard data protection thinking, including GDPR-aligned principles where relevant .

11. DATA RETENTION

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

11.1 maintain your account and profile;

11.2 provide the Platform and related services;

11.3 support ongoing recruitment, booking, and coordination activity;

11.4 comply with legal, tax, accounting, and regulatory obligations;

Where we rely on your consent to process personal data, you may withdraw that consent at any time. This will not affect the lawfulness of processing already carried out before withdrawal. Please note that withdrawing consent may mean some features or services can no longer function properly, or at all.

14. CHILDREN AND MINORS

VibeCrew is not intended for children under the age of 13, or any higher minimum age required by applicable law. We do not knowingly collect personal data from children where doing so is prohibited by law. If we become aware that we have collected personal data from a child in breach of applicable law, we will take reasonable steps to delete it. If you are below the age of majority in your jurisdiction, you may only use VibeCrew where permitted by law and, where required, with parental or guardian involvement.

15. COOKIES AND SIMILAR TECHNOLOGIES

We may use cookies, SDKs, pixels, local storage, and similar technologies to:

15.1 keep the Platform functioning properly;

15.2 remember preferences and settings;

15.3 maintain secure sessions;

15.4 understand usage and performance;

15.5 troubleshoot and diagnose technical issues; and

15.6 improve the Platform and user experience.

Where required by law, we will ask for consent before using non-essential cookies or similar technologies.

16. SECURITY

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, disclosure, alteration, and destruction. These measures may include:

16.1 layered platform and hosting protections;

16.2 encrypted backups and recovery safeguards;

16.3 permission-based access controls across records, features, functions, and workflows;

16.4 attack detection and monitoring designed to identify brute force attempts and injection-style threats;

16.5 account, role, and permission hardening; and

16.6 security practices informed by recognised guidance such as the OWASP Top 10 and ISO27001-style risk review principles .

That said, no system is completely bulletproof. You are also responsible for protecting your password, devices, and account access. Dubai moves fast, but your login still needs to move smart.

The Platform may contain links to third-party websites, services, integrations, or tools. We are not responsible for the privacy, security, or content practices of those third parties. Their own terms and privacy policies will apply to your use of those services.

18. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect legal, technical, operational, or business changes.

Where appropriate, we will notify you of material changes through the website, the Platform, by email, in-app notice, or by other reasonable means. The updated version will take effect from the “Last updated” date shown above.
