Client Booking Terms & Conditions
Client Booking Terms are a legal agreement between you and Revamp FZC LLC trading as VibeCrew (“VibeCrew”, “we”, “us”, or “our”). By selecting, requesting, confirming, or paying for a booking through VibeCrew, you agree to these Client Booking Terms, together with any booking summary, pricing details, cancellation terms, and policies shown in-app or on the website.
1. What VibeCrew does
VibeCrew is a talent platform that introduces Clients to Candidates for event, hospitality, production, brand, entertainment, freelance, project, contract, and permanent roles.
VibeCrew facilitates the introduction and booking. Unless we expressly agree otherwise in writing, VibeCrew is not the employer of the Candidate and is not a party to the contract between you and the Candidate for the Services.
2. When these terms apply
These terms apply as soon as you do any of the following in relation to a Candidate introduced by VibeCrew:
2.1. select or shortlist a Candidate;
2.2. request or confirm a booking;
2.3. schedule an interview, call, trial, or meeting;
2.4. message or contact the Candidate through VibeCrew;
2.5. make payment;
2.6. engage or hire the Candidate, whether through the platform or otherwise.
3. Booking confirmation
A booking becomes binding once you confirm it through the platform, approve it in writing, or proceed with the Candidate following an introduction by VibeCrew. You are responsible for making sure the booking details are correct, including:
3.1. role and responsibilities;
3.2. date, time, and duration;
3.3. venue and location;
3.4. rates and approved expenses;
3.5. dress code, call time, and reporting contact;
3.6. any licences, permits, inductions, or special requirements.
4. Fees and payment
You agree to pay all fees, charges, rates, and expenses shown at checkout, in your booking summary, in the applicable quote, or otherwise agreed with VibeCrew in writing.
Unless stated otherwise, all amounts are exclusive of VAT.
Where VibeCrew handles payment collection, you must pay the full invoiced amount to VibeCrew. We may deduct our fees and charges before remitting the balance to the Candidate where applicable.
All payments must be made in full, on time, and without set-off, deduction, or withholding.
If payment is overdue, VibeCrew may suspend current or future bookings, withhold introductions, and recover reasonable collection or legal costs.
5. Cancellations, changes, and cutdowns
If you cancel, postpone, shorten, or materially change a confirmed booking, cancellation or amendment charges may apply.
If the booking has already started, you remain liable for all fees accrued up to the time of cancellation, together with any applicable minimum booking charges or cancellation fees.
If you reduce hours, send the Candidate home early, or cancel for convenience, the original confirmed booking terms may still apply.
6. Candidate no-show or replacement
If a Candidate cancels, does not attend, or becomes unavailable, VibeCrew will use reasonable efforts to find a replacement where possible. We do not guarantee replacement availability.
7. Direct hire, repeat bookings, and off-platform deals
If VibeCrew introduces a Candidate to you, and you then engage, re-engage, extend, convert, or hire that Candidate, or arrange for them to be engaged by any related party, VibeCrew’s fee remains payable.
This applies whether the engagement happens:
7.1. through the platform;
7.2. directly with the Candidate;
7.3. through another recruiter, supplier, or third party;
7.4. through your affiliate, group company, agency partner, venue partner, or event partner;
7.5. in a different role, format, contract type, or location.
This applies during the booking term and for 12 months after the later of:
7.6. the date of the Candidate’s introduction, or;
7.7. the end of the most recent booking or engagement involving that Candidate.
8. Client responsibilities
You are responsible for:
8.1 ensuring the role, venue, and working conditions are lawful and safe;
8.2 complying with all applicable employment, immigration, tax, health and safety, insurance, and regulatory requirements;
8.3 providing proper supervision, access, and instructions at the venue or workplace;
8.4 treating Candidates professionally, lawfully, and fairly;
8.5 approving timesheets, attendance, deliverables, or sign-off requests promptly where required; and 8.6 notifying VibeCrew immediately of any issue, complaint, incident, no-show, misconduct, injury, or dispute.
Where a Candidate performs services under your direction or supervision, you are responsible for day-to-day management and workplace conduct requirements.
9. Candidate suitability
VibeCrew may curate, screen, or verify Candidates, but you remain responsible for deciding whether a Candidate is suitable for your role, team, venue, event, or project.
You should carry out any additional checks, inductions, approvals, or onboarding steps you require before the booking starts.
10. Confidentiality and candidate data
Candidate profiles, CVs, contact details, rates, availability, and related information shared by VibeCrew are confidential.
You may only use that information to evaluate, book, and manage the relevant Candidate through VibeCrew. You must not share it with third parties except where genuinely necessary for the booking and on a confidential basis.
You must handle all personal data in line with applicable privacy and data protection laws.
11. No warranty
VibeCrew does not guarantee:
11.1 uninterrupted platform access;
11.2 Candidate availability;
11.3 that any Candidate will accept or complete a booking;
11.4 that any Candidate is suitable for your specific purpose; or
11.5 that a replacement will be available if a booking changes last minute.
To the fullest extent permitted by law, VibeCrew provides the platform and services on an “as is” and “as available” basis.
12. Liability
To the fullest extent permitted by law, VibeCrew is not liable for any indirect, incidental, special, or consequential loss, including loss of profit, revenue, business, goodwill, or opportunity arising from:
12.1 your use of the platform;
12.2 any booking, introduction, or engagement;
12.3 any act or omission by a Candidate;
12.4 any cancellation, delay, no-show, or replacement issue;
12.5 any dispute between you and a Candidate.
Nothing in these terms excludes liability that cannot lawfully be excluded.
You agree to indemnify VibeCrew against claims, losses, damages, costs, and liabilities arising from your breach of these terms, your workplace or event conditions, your treatment or supervision of a Candidate, or your unlawful or negligent conduct.
13. Suspension or termination
VibeCrew may suspend or terminate your access to the platform, cancel bookings, or refuse future bookings if:
13.1 you breach these terms;
13.2 payment is overdue;
13.3 you provide false or misleading information;
13.4 you act unlawfully, unsafely, or unprofessionally;
13.5 we reasonably believe there is a legal, reputational, safety, or commercial risk.
14. Governing law
These terms are governed by the laws of the Emirate of Dubai and the applicable federal laws of the United Arab Emirates.
Any dispute arising out of or in connection with these terms shall first be addressed in good faith discussions. If unresolved, the dispute shall be referred to arbitration in Dubai under DIAC rules, in English.
VibeCrew may still seek urgent injunctive or interim relief from a court of competent jurisdiction where needed.
15. Acceptance
By confirming this booking, you confirm that:
15.1 you are authorised to act for the Client;
15.2 you have read and accepted these Client Booking Terms;
15.3 you agree to pay the applicable fees and charges;
15.4 you understand that direct or off-platform engagement of introduced Candidates still triggers VibeCrew fees.
